Job Description

TECHNICAL REQUIREMENTS

  • Oversee the day-to-day administrative functions of the office, ensuring efficiency and effectiveness.
  • Develop, implement, and maintain office policies, procedures, and systems to streamline operations and enhance productivity.
  • Manage and maintain office supplies, toiletries, equipment, vehicles, and inventory, ensuring adequate stock levels and coordinating necessary repairs and maintenance.
  • Handle incoming and outgoing correspondence (mail, emails, calls) and direct inquiries to the appropriate personnel.
  • Manage and organize physical and digital filing systems, ensuring data integrity and confidentiality.
  • Coordinate and schedule meetings, appointments, and company events (e.g., team lunches, workshops, client gatherings)
  • Assist with travel arrangements and accommodation bookings for staff as required
  • Assist with the onboarding process for new hires, including preparing workstations, access cards, and necessary documentation.
  • Maintain accurate personnel records and assist with basic HR administrative tasks.
  • Support in coordinating staff training and development initiatives.
  • Manage the office budget, track expenditures, process invoices, and reconcile accounts related to office operations.
  • Prepare periodic reports on office expenses for management review.
  • Assist with petty cash management and expense reimbursements.
  • Ensure the office adheres to health and safety regulations and implement necessary protocols to maintain a safe working environment.
  • Oversee office security measures, including access control and emergency preparedness plans.

EXPERIENCE AND QUALIFICATIONS

  • Bachelor’s degree in Business Administration or related field
  • Minimum of 2 years’ experience in office management or a similar administrative role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software and communication platforms.
  • Excellent organizational, time management, and multitasking skills with the ability to prioritize effectively in a fast-paced environment.
  • Exceptional written and verbal communication skills in English. Knowledge of local languages (e.g., Twi, Ga, Ewe) is a plus.
  • Strong interpersonal skills with the ability to build rapport and work collaboratively with diverse teams and stakeholders.
  • Proactive, problem-solving mindset with keen attention to detail and a high level of accuracy.
  • Ability to exercise discretion and maintain confidentiality.
  • Demonstrated leadership skills and the ability to supervise or guide administrative support staff (if applicable).
