Job Description

Technical requirements

  • Member of the core operations team, with primary responsibility to support the CEO.
  • Oversee general office operations and procedures.
  • Manage office supplies inventory and place orders as necessary.
  • Coordinate maintenance of facilities and equipment.
  • Primary contact and liaising with vendors and service providers.
  • Organize and schedule meetings, appointments, and travel arrangements.
  • Assist with budgeting and bookkeeping.
  • Supervise the work of on-site caretaker.
  • Serve as a point of contact for office-related inquiries from staff and external parties.
  • Maintain filing systems, both electronic and physical, and ensure records are up to date.

Qualification and Experience

  • Proven experience in office management, administration, or a related role.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and Office Management Software (e.g., Excel, Google Workspace, etc.).
  • Ability to work independently and manage multiple tasks simultaneously.
  • Demonstrated ability/capacity for discretion in dealing with confidential and sensitive information.
